Ivory Oak Counseling & Wellness respects your privacy and is committed to handling personal information responsibly.
This Privacy Policy explains how information is collected and used through our website and general business communications. It is separate from our Notice of Privacy Practices, which addresses protected health information in connection with professional counseling services.
Ivory Oak Counseling & Wellness is preparing to launch counseling services in 2027. We are not currently accepting counseling clients through this website.

Information We Collect
When you contact us, we may collect information that you choose to provide, such as your name, email address, telephone number, contact preferences, and general inquiry.
Our website and supporting services may also collect technical information, including IP address, device or browser information, website activity, referral information, and dates and times of visits.
Please do not send detailed clinical histories, diagnoses, medical records, Social Security numbers, payment information, or other sensitive personal information through general website contact forms, standard email, or text messages.

How We Use Information
We may use information to:
• Respond to general inquiries about Ivory Oak Counseling & Wellness
• Provide information about our planned services and future availability
• Maintain and improve the website
• Protect website security and prevent misuse
• Maintain appropriate records of business communications
• Comply with applicable legal or professional obligations
Submitting a website inquiry does not create a therapist-client relationship.

Website Hosting, Cookies, and Analytics
Our website is hosted by Wix.
Wix and applicable website services may use cookies and similar technologies to support site functionality, maintain security, and understand website traffic and performance.
You can manage cookies through your browser and, where available, website privacy settings. Disabling certain cookies may affect how the website functions.

How Information Is Shared
We do not sell personal information collected through website inquiries.
Limited information may be processed by third-party service providers supporting website hosting, forms, email delivery, communications, analytics, and security. We may also disclose information when required by law or where otherwise legally permitted.
Our website may link to outside platforms, including social media and future client-service systems. Those providers maintain their own privacy policies and security practices.

Email, Telephone, and Text Communications
General inquiries may be handled through our business email, telephone, and available messaging services.
Standard email, voicemail, and text messaging may not provide the privacy protections appropriate for confidential clinical information. Please use these channels only for general or administrative matters unless you have been specifically instructed otherwise through an approved clinical communication process.
Ivory Oak Counseling & Wellness does not provide psychotherapy or crisis intervention through ordinary text messages, social media messages, or general website inquiries.
We do not currently offer a separate promotional SMS subscription program through this website.

Clinical Sessions and Recording Policy
When counseling services begin, Ivory Oak Counseling & Wellness intends to maintain a mutual no-recording policy for clinical sessions.
Neither the counselor nor the client may audio-record, video-record, screen-record, create session transcripts, or use automated recording or AI note-taking tools during a clinical session without the prior knowledge and express written agreement of all participants.
This policy applies equally to the counselor and the client. Counseling sessions will not be routinely recorded.
Any proposed exception must be discussed in advance, documented appropriately, and handled according to applicable confidentiality and record-protection requirements.
This policy does not prohibit routine professional documentation in the clinical record, restrict legal rights that cannot be waived, or override duties imposed by applicable law.
The full recording policy will also be included in the Informed Consent and Telehealth Consent documents provided before services begin.

Protected Health Information
Once clinical services begin, protected health information will be handled under applicable healthcare privacy laws and the practice's Notice of Privacy Practices.
Clinical records and communications will be subject to separate professional, legal, security, and retention requirements.

Security and Retention
We use reasonable safeguards intended to protect information, but no internet-based communication method can be guaranteed completely secure.
Information is retained only as reasonably necessary for legitimate business purposes, legal requirements, and applicable professional obligations. Clinical records, when maintained, are subject to separate retention requirements.

Your Privacy Choices
You may contact us to ask questions about information collected through this website or request access, correction, or deletion when legally appropriate.
Requests may be subject to identity verification and applicable legal or record-retention limitations.
You may also manage cookies through your browser or website privacy controls where available.

Changes to This Policy
We may revise this Privacy Policy as our website, services, technology, and legal obligations change. Updates will appear on this page with a revised date.
